What happens to your customer conversations

In plain language: what your assistant stores, why, where, for how long, and who owns it. Short answer: you do.

Draft, to be reviewed

What we store

The conversations your assistant has with your customers: call recordings or transcripts, WhatsApp and chat messages, and the details customers share, such as their name, phone number and what they need. Plus the bookings it makes in your calendar.

Why we store it

So your assistant can do its job: book appointments, send you a summary, remember a customer across channels, and pass on questions it cannot answer. We also use it to write your monthly report. Nothing else.

Where it is stored

On servers inside the European Union. [Hosting provider and location to confirm.]

How long we keep it

Conversations are kept for [period to confirm], then deleted automatically. Bookings stay in your own calendar for as long as you want them there.

Who owns it

You do. Your customer data belongs to your business, not to us. It is never sold and never used to train other systems. When you stop working with us, you choose: we send you an export, or we delete everything.

Telling customers it is an assistant

Your assistant says it is an AI in its first sentence. The law requires it, and we think it is simply honest.

Processing agreement

We sign a data processing agreement with every client, as GDPR requires. Ask for a copy at [email protected].

Third parties involved

We use a small number of carefully chosen providers for telephony, WhatsApp and language processing, all under GDPR agreements. [List to confirm.]
